Paying for a China Health Check: Quote, Receipt and Company Invoice
By MyChinaCheckup coordination team · Updated
Before paying for a MyChinaCheckup visit, match one accepted quote to the exact recipient, amount, currency and booking reference. The current operating and payment-receiving company is Nanjing Xurun Health Consulting Co., Ltd. (南京旭润健康咨询有限公司). Ordinary check-ups can be paid in full after arrival in China, before the first examination begins. Any hospital-required advance payment is disclosed separately in writing and agreed before you accept the plan and proceed with booking. Appointment confirmation, payment confirmation and a company tax invoice are separate documents.

- Your personalised plan & price. Confirm your hospital, examinations, included services and total cost.
- Share your booking details. After accepting your plan, share the hospital’s required booking details through an agreed private channel.
- Receive your appointment confirmation. Receive your appointment details after the hospital confirms, then review and sign your service agreement.
- Pay before your check-up. For an ordinary check-up, pay in full after arriving in China and before your first examination begins.
- Your check-up with English support. A dedicated English-speaking companion supports your agreed examinations and communication throughout your visit.
- Receive your Chinese & English reports. Receive the hospital’s Chinese report and complete English translation within 3–5 working days after all listed package examinations are completed.
The completion signature records only examinations and English accompaniment actually completed that day. Unfinished examinations, pending reports and follow-up arrangements are listed separately. It does not mean reports have been delivered and does not waive complaint or applicable refund rights or release medical liability.
The hospital-issued Chinese report and complete English translation are delivered within 3–5 working days after all examinations listed in your confirmed check-up package are completed.

Your payment recipient and documents
The operating and payment-receiving company is Nanjing Xurun Health Consulting Co., Ltd. (南京旭润健康咨询有限公司), based in Nanjing, China. MyChinaCheckup is the specialist health-check planning platform of Access China Med. The hospital provides examinations and clinical decisions; our team provides the agreed coordination and language support.
- Before payment: receive the itemised written quote, exact payment recipient, amount and currency, included services and applicable cancellation and refund conditions. The quote separates each attendee, package and approved addition.
- After payment is received: we send a payment confirmation and arrange a Chinese tax invoice (fapiao) issued by Nanjing Xurun Health Consulting Co., Ltd. (南京旭润健康咨询有限公司) through the company’s actual invoicing process. Confirm the required invoice details and expected issue time before paying. Use the existing itemised English quote as the English cost breakdown.
- Hospital documents and appointment confirmation: a company tax invoice acknowledges the company’s invoiced transaction; it is distinct from a hospital-issued receipt or bill and from appointment confirmation. Hospital letterhead, stamps, document availability and issue dates must be checked with the particular hospital. None of these documents guarantees employer or insurance reimbursement.
Payment-document information confirmed by the operator on 7 October 2026. This is not a new hospital tariff confirmation. Already accepted quotes and booking terms remain subject to their existing agreement.
A blank payment-confirmation checklist
The fields below are an example to complete with the coordination team. They contain no customer, bank or payment-account information and are not payment instructions. Use the existing English itemised quote as the cost breakdown.
| Field | Value to confirm |
|---|---|
| Quote reference and version | __ / __; latest accepted date: __. |
| Attendees and scope | Person A package + approved additions: __; Person B, if applicable: __. |
| Amount requested | Per-person subtotals: __; group total: __; currency: __. |
| Payment recipient | Nanjing Xurun Health Consulting Co., Ltd. (南京旭润健康咨询有限公司); exact accepted payment instructions to confirm privately. |
| Conversion and payment costs, if relevant | Settlement amount: __; agreed conversion basis: __; disclosed payment fees and who pays them: __. |
| Transaction to reconcile | Booking reference: __; paid amount/currency/date: __; limited transaction reference: __. |
| Receipt status | Company confirms funds received: pending / confirmed; confirmation reference/date: __. |
| Company fapiao | Requested title/details: __; issue status and expected date: __. |
| Hospital appointment | Campus, appointment date/time and remaining confirmation steps: __. |
If the figures or recipient do not match
Pause and ask the team to reconcile the accepted quote with the payment request through your established contact channel. For a currency conversion, request the exact payable amount rather than calculating it from a displayed USD reference price. If a bank has debited your account but receipt is unconfirmed, provide the limited transaction reference and ask both sides to trace it before paying again.
For a group, one transfer can still relate to several individual plans. Ask the confirmation to reference the correct quote and attendees; do not assume that payment by one partner authorises receipt of the other person’s medical records. If you have continued a conversation across email and WhatsApp, repeat the same quote reference so the team can match it manually.
Which document answers which question?
The English quote describes agreed scope and costs. A payment confirmation records receipt of funds. The company fapiao follows the company’s actual invoicing process. Hospital-issued bills or receipts, when available, come from the hospital and require separate confirmation. Appointment instructions tell you where and when to attend. None alone substitutes for all the others or guarantees reimbursement.
The operator’s payment-document confirmation dated 7 October 2026 remains the basis for this process. No company renaming or new hospital billing policy is implied by this checklist. Existing accepted quotes keep their agreed terms. See the current cancellation and refund terms.
Know who is receiving the payment
Ask for the payment recipient’s name and its role in the arrangement. Are you paying the hospital directly for a particular service, or paying the coordination company for an agreed package? The written quote and payment instructions should answer that question without requiring you to infer it from a QR code or an account label.
MyChinaCheckup is the health-check planning platform of Access China Med, operated by Nanjing Xurun Health Consulting Co., Ltd. (南京旭润健康咨询有限公司). It coordinates visits and is not a hospital. Read our operator information and resolve any difference between the named recipient and the written instructions before sending funds. Do not send card numbers or payment-account passwords in an enquiry.

Lock down the total and its currency
Keep a single written version of the accepted quote. It should identify what you are buying, how much is due, the settlement currency and the payment method agreed for that booking. A USD quotation and an RMB payment request need a stated relationship; do not calculate an amount using an old case example or an assumed exchange rate.
| Item to record | What you should be able to identify |
|---|---|
| Booking scope | Hospital, campus, examination package, appointment date and agreed support. |
| Payment amount | Exact amount and currency requested for this booking. |
| Conversion, if relevant | The agreed converted amount and any conditions attached to it. |
| Payment charges | Any disclosed processing or transfer costs and who pays them. |
| Reference | The identifier used to match your payment to the correct booking. |
Separate included services from optional purchases
For confirmed visits through 31 December 2026, our agreed total includes the hospital check-up fee, coordination and English accompaniment specified in the written plan. This does not make every additional test, medicine or treatment part of the package. Any unlisted purchase needs its own disclosed price and your approval. For later visits, request the applicable inclusions before payment.
A historical Shenzhen visit illustrates the distinction: the agreed health check, TCM consultation and English support totalled US$480. Optional medicines costing RMB299 and acupuncture costing RMB238 were separate. These were past individual charges, not today’s tariff or an instruction to convert between currencies.
Match payment confirmation to appointment confirmation
Keep the accepted quote, transaction confirmation and booking reference together. Tell the coordinator when payment is complete using the agreed channel, with enough transaction information to identify it. Avoid forwarding a banking screenshot that exposes unrelated balances or transactions if a cropped confirmation supplies what is needed.
Appointment confirmation follows the hospital’s confirmation and our written notification; it is separate from the payment receipt. Check the campus, check-in time, accepted examination scope and any pending hospital step. If payment status is unclear, ask for reconciliation before sending a second payment.
Keep an itemised record of later changes
If a clinician recommends something outside the original arrangement, first ask what it is, why it is being proposed and who charges for it. Clinical suitability is for the clinician to explain. The price, payment recipient and whether you accept the addition should also be clear before it is purchased.
At the end of the visit, compare the original agreement with any additions you approved. Request the receipts or invoices available for each payment and clarify which organisation issued them. If you intend to seek reimbursement, ask your insurer in advance what it requires; a receipt or English translation does not guarantee a successful claim.
Confirm the refund amount and method in writing
Our current cancellation policy provides a full refund when you cancel at least 48 hours before the appointment, measured against the appointment time in China. With less notice, only actual non-refundable third-party costs already incurred are deducted, and the eligible balance is refunded. Ask for those costs to be explained.
One complimentary reschedule is available subject to hospital availability and disclosed third-party costs. If the hospital cancels, an alternative is considered first; if no acceptable arrangement is available, the amount for services that cannot be provided is refunded. If the agreed appointment cannot be secured and you decline the alternative, the refund is full.
For any refund, request the confirmed amount, currency, method and expected processing time. Do not assume an immediate credit or invent a refund route based on the original payment method.
Common questions
Can I pay cash after arriving in China?
Ordinary check-ups can be paid after arriving in China, before the first examination begins. Confirm the available payment method; this timing does not guarantee that cash, a particular card or wallet is accepted. Any hospital-required advance payment is disclosed separately in writing and agreed before you accept the plan and book.
Should I use a past customer’s exchange rate?
No. Historical case prices are not current quotes. If the quotation and payment use different currencies, obtain the exact amount and conversion arrangement for your own transaction in writing.
What if my bank shows a debit but the booking team cannot find it?
Provide the agreed reference and appropriate transaction confirmation through the established channel. Ask the team and your payment provider to reconcile the status before attempting another payment, so a delayed confirmation does not lead to a duplicate.
If two transfers pay for one accepted quote
A visitor may ask to divide payment between two transfers or two payers. Ask whether that arrangement is accepted before sending either transfer. The agreed quote should remain the common reference: record the amount and currency expected from each payer, the amount actually received, and any balance still due. Do not treat two banking screenshots as confirmation that the company has received the complete total.
Ask whether each transfer will have its own payment acknowledgement and how the company invoice will relate to the combined transaction. A request for separate receipts does not itself change the supplier, create two hospital invoices or divide a package into new services. If a payer or attendee changes, reconcile the written scope and balance before paying again.
When the requested document must come from the hospital
If an employer asks for hospital letterhead or a hospital stamp, show the exact document requirement to the coordination team before payment. Confirm whether the selected hospital can issue that document, what transaction or visit it would describe, and when it could be available. The company cannot promise a hospital stamp on its own quote or replace the hospital as the document issuer.
A company payee is consistent with the coordinated-package arrangement described above; it should still match the accepted quote and verified payment instructions. If the proposed payment recipient or document issuer changes, ask for an explanation tied to that booking. Keep the English cost breakdown, company payment confirmation and any hospital-issued documentation together without treating them as interchangeable.
Plan the details before you book
Ask for a written plan showing the hospital, inclusions, total, payment recipient and currency before you pay.
An enquiry does not reserve an appointment. Confirm the hospital, date, scope and total in writing before payment.
