An Overseas Advance Payment Fails: Verify the Quote and Booking Status

By MyChinaCheckup coordination team · Published · Updated

An overseas visitor has a written health-check proposal but an advance-payment attempt does not complete. The immediate task is to establish what happened to the transaction and whether any appointment is confirmed. A failed screen alone does not explain the cause or settle the booking status.

A composite planning example based on anonymised enquiry themes, not a record of a completed visit or a promised outcome. The provider must confirm each arrangement.

Record the status without sharing sensitive payment data

Note the attempted amount, currency, time and any non-sensitive reference or displayed error. Check with the payment provider or bank whether the transaction is declined, pending or completed. Do not send card numbers, security codes, passwords or one-time authentication codes in chat or an enquiry.

A payment failure can have different causes. The coordination team should not attribute it to a bank, country restriction or account problem without evidence. If status is unclear, resolve that uncertainty before repeating the payment and risking a duplicate attempt.

Verify the recipient and the current proposal

Contact MyChinaCheckup through the published contact route and ask the team to confirm the company recipient, quoted amount, currency and the secure payment method for that booking. If a destination or payment instruction differs from the accepted proposal, clarify it before proceeding.

Check that the quote still names the selected hospital, package, approved additions, support scope and applicable terms. An earlier draft or changed service list may require a revised amount. A payment request should be tied to the agreed plan, not just a verbal starting price.

Ask explicitly what is reserved

Request the current appointment status and any payment deadline. An attempted payment does not itself confirm a reservation, and an unsuccessful attempt does not establish that every provisional option has been cancelled. The team must confirm what applies to the actual booking.

If the trip is close, share your arrival and available dates. Ordinary check-ups can be paid in full after arrival in China, before the first examination. Check any separately agreed hospital-required advance-payment exception and use a confirmed available payment method.

Close the loop after a successful resolution

Check the hospital-confirmed appointment against the written appointment confirmation separately from the transaction. If funds have been received, obtain the payment acknowledgement. Recheck the campus, time, accepted services, preparation and report-delivery contact, and retain the quote and relevant transaction reference.

Review the service terms and change and cancellation information before accepting a revised arrangement. If the transaction remains unresolved, ask for the exact next step and who will confirm it. No card details or genuine payment attempt are needed to use this planning checklist.

Follow the status that is actually confirmed

  • Declined: ask the payment provider or bank about the next step, then reconfirm the authorised payment route with the team before another attempt.
  • Pending: ask who will confirm completion or release and whether the appointment’s payment deadline needs attention. Do not treat a pending debit as either a completed payment or a final failure.
  • Completed according to the payer: ask the team to reconcile the amount and non-sensitive transaction reference before paying again.
  • Unclear or conflicting status: retain the non-sensitive reference and ask the payment provider and receiving team to reconcile it before another attempt.

These are enquiry paths, not diagnoses of the payment fault. A screenshot message alone may not establish settlement. Keep passwords, one-time codes and full card details out of the conversation.

Keep a separate booking-status line open

Ask for the hospital and appointment status in plain terms: confirmed, provisional or awaiting availability. If the quoted visit is approaching, ask what decision is needed by whom and what happens if payment remains unresolved. Do not assume an unapproved alternative payment method, automatic cancellation or a reserved slot.

When the matter is resolved, retain the final quote, payment acknowledgement and appointment confirmation as separate documents. Check the company invoice arrangements against the published payment-document guide. Any changed date, scope or amount still needs a matching update to the booking instructions.

Discuss your own plan

Share only the proposal reference and non-sensitive transaction status. Ask the team to confirm payment receipt and appointment status separately.

The hospital-issued Chinese report and complete English translation are delivered within 3–5 working days after all examinations listed in your confirmed check-up package are completed. Consultations, treatment, pathology and other services outside the listed package follow their separately confirmed arrangements.
