Something Changes After the Quote: Reconfirm the Health-check Plan

By MyChinaCheckup coordination team · Published · Updated

A visitor receives a check-up quote, then relevant medical circumstances or the requested services change before the visit. The original proposal may no longer describe the plan that should proceed. Contact the team with the change and ask for review before treating the old quote as final.

A composite planning example based on anonymised enquiry themes, not a record of a completed visit or a promised outcome. The provider must confirm each arrangement.

Identify what changed and what is already committed

Give the quote reference or date, selected hospital and package, planned appointment and current payment status. Explain the new circumstance or request through the agreed channel. If the change involves symptoms or recent clinical care, ask what information the receiving clinician needs.

Do not assume that an administrative reply establishes medical suitability. The coordinator can help route the update, but the receiving clinical team must address the clinical questions. Ask whether preparation or appointment instructions should be reconfirmed.

Reconcile the service list line by line

Keep a copy of the previous proposal and request a revised list showing what remains, what is removed, what is added and what is still pending review. A newly discussed test or consultation is not automatically authorised or included in the old amount.

Use the package comparison checklist to retain the named examinations, eligibility conditions and provider. If another department or campus is now needed, include the practical change rather than leaving the original arrival instructions untouched.

Confirm price and booking consequences

Ask for the revised subtotal, accepted additions and total in the same stated currency. If a payment has been made, request a written explanation of how it applies to the revised plan and what terms govern a change or cancellation. Do not assume a refund, credit or unchanged price without confirmation.

Check the applicable cancellation and refund information and the specific terms supplied with the booking. A change in clinical scope can also affect availability, support arrangements and how long the visit or report delivery takes.

Use one clearly accepted final version

Before proceeding, confirm the updated hospital, campus, service list, clinical acceptance, appointment time, preparation, payment status and record-delivery plan. Make clear which version replaces the earlier quote so the visitor and team are working from the same instructions.

If the new request cannot be accepted within the trip, discuss a different date or narrower clinically accepted plan. The useful outcome is an accurate revised agreement, including unresolved items where necessary, rather than quietly carrying forward assumptions from an outdated quotation.

Use a change log the visitor and team can read together

Start with the reference or date of the accepted proposal. List each changed item and the action required: clinical review, revised price, different campus, new appointment check or new language arrangement. Mark the owner of the response and leave unresolved items pending. This avoids a revised total hiding a still-unaccepted examination.

Keep the previous version for comparison, but identify one current proposal. Ask the team to state whether the old appointment remains confirmed, is being changed or has not yet been secured. A new quotation alone does not answer that scheduling question.

Reconcile the money and the instructions separately

If a payment has been made, ask for the amount received, its application to the revised services and any additional balance or refund decision under the applicable terms. Do not infer a cash refund from a removed line until the actual provider costs and agreement have been checked.

Then read back the operational changes: arrival address, time, preparation, who accompanies the visitor and which reports will be delivered. A financial adjustment may be complete while the clinical or scheduling review is still pending. Proceed from the accepted final version, and make sure any later change is communicated before the visit.

Discuss your own plan

Give the previous proposal reference and a concise change list. Ask for one current version with both payment and appointment status made clear.

The hospital-issued Chinese report and complete English translation are delivered within 3–5 working days after all examinations listed in your confirmed check-up package are completed. Consultations, treatment, pathology and other services outside the listed package follow their separately confirmed arrangements.
