Passport Names and Health-Check Records in China

By MyChinaCheckup coordination team · Published

Before your appointment, ask how the selected hospital wants your name and identity document recorded, then use that confirmed identity consistently. Check the registration details again before examinations and when reports arrive. If an issued record is wrong, ask its issuer to correct or clarify it; do not edit the original report yourself.

Resolve the registration format before arrival

A passport name can contain several given names, a different surname order, accents or spaces that a booking system handles differently. Ask the registration team how to enter the name and what document to bring. Do not shorten or rearrange it merely to make an online field convenient without asking how the hospital will identify the record.

Shanghai’s municipal government published a 2020 Healthcare Cloud guide describing passport-based real-name registration for overseas users. It is an example of identity-linked booking, not a guarantee that the same app, workflow or document rule applies at every hospital today. Confirm the selected provider’s current process. A name difference is a reason to verify the link, not to guess that the document belongs to you. Use the hospital’s reference numbers alongside the agreed identity details when asking for clarification. Each person in a couple or group should have a separate patient record.

Mention renewed passports and existing hospital records

If you previously attended the same hospital under an older document or another recorded name, say so before a new registration is created. Ask how the hospital handles updates or links existing records. Keep any previous patient reference available for the registration team.

Do not assume two records will merge automatically or that a coordinator can change the hospital’s clinical system. Ask what evidence the hospital requires and how to supply it. The initial planning enquiry can explain the situation and special requirements; the team can then clarify the appropriate registration-document process.

If you cannot use a local phone-based registration route, the booking without a Chinese number guide addresses that access problem. It does not remove the need to agree patient identity.

Separate patient identity from the payer or invoice entity

A colleague, spouse or company may pay while another person attends. Make that distinction clear in the accepted proposal and ask which name belongs on each document. A hospital report identifies the patient; an invoice request may involve a separate company title or other billing details according to the issuer’s process.

Use the payment and company-invoice checklist for billing requirements. Do not ask a translator to change a clinical report’s patient name to match a payer or company invoice. If an employer needs documents, confirm exactly what it requires and what the issuer can provide without assuming that a clinical report is necessary.

Ask the issuer to correct an error and track the version

If you notice an error, contact the issuing hospital with the relevant patient reference, report date and a clear description of the discrepancy. Ask whether it will issue a corrected record or a formal clarification, and how it will identify the replacement. Keep the old and new versions distinguishable.

Have any translation updated against the corrected original, not against a change typed into an email or marked on a PDF. If you already sent the earlier record to a doctor, tell that recipient which version supersedes it. Ask the hospital how it will handle any pending report that uses the same incorrect registration details.

For payment or invoice errors, contact that document’s issuer separately. A corrected invoice does not by itself correct a hospital patient record.

Raise unusual name or document details early

Tell us the city and dates, whether you have an existing hospital record, and any name-format or renewed-document question you want checked. We can seek the provider’s current registration instructions and help keep the booking references clear. Include special requirements or concerns; you do not need to solve the hospital’s identity format before starting the conversation.

Ask us to check your plan

Share your city, dates, concerns and special requirements. We will clarify what the selected provider can confirm before you accept a booking.

An enquiry does not reserve an appointment. Clinical decisions, preparation and treatment are provided by the selected healthcare provider.

The hospital-issued Chinese report and complete English translation are delivered within 3–5 working days after all examinations listed in your confirmed check-up package are completed. Consultations, treatment, pathology and other services outside the listed package follow their separately confirmed arrangements.
